Report Approval Process

Applies to: Kyvos Reporting


Kyvos Reporting supports a structured approval process for reports that are publicly published. Reports can be published in the following ways:

  • From the Report Delivery Options page as part of a delivery method (such as Email or FTP).

  • As a post-view operation after report execution (for example, from the HTML Viewer).

  • Through scheduled execution using batch or quick schedulers.

If a report is configured with the approval process, it will appear on the Approval Pending Reports page for the following users:

  • Owner – The user who executed or published the report.

  • Approver – A designated approver for the report.

  • Commenter – A user assigned to review and comment on the report.

Owner

No approval actions unless also an approver or commenter.

Approver

Can approve, reject, or comment on the report.

Commenter

Can add comments but cannot approve or reject.

Report Status Outcomes

  • Commented: The report remains in the Approval Pending Reports list. Additional comments can be added by approvers or commenters.

  • Approved: The report is moved to the Published Reports list and is visible to users with view rights. The approval status cannot be changed afterward.

  • Rejected: The report is moved to Published Reports but is visible only to the report owner and Super Administrator. The rejection status is final and cannot be changed.

Note

Reports with delivery options such as Email or FTP will not be delivered until they are approved.

Viewing Pending Operations

The Pending Operations column on the Approval Pending Reports page lists delivery actions (e.g., email, FTP) that are on hold until approval is complete.

Working with Report Approvals

Approval from Report Delivery Options

  • When a report is delivered (e.g., via Email or FTP) from the Report Delivery Options page and is linked to an approval workflow, it appears on the Approval Pending Reports page after generation.

  • Click View (HTML) to open the report in the HTML Viewer and provide approval comments.

Approval During HTML Viewing

When viewing a report in the HTML Viewer:

  1. Click Add Approval Process Comment.

  2. A Publish dialog appears.

  3. Provide any required information and click Set Approval Status.

  4. In the Add Approval Process Comment dialog, add your comment and click:

    • Approve to approve the report.

    • Reject to reject the report.

    • Add Comment to submit a comment without changing status.

  5. Return to the Publish dialog and click Publish.

Note

The button labels and dialog titles depend on configuration defined in the Approval Process settings.

Scheduled Report Approvals

When a report is scheduled for publication:

  • Once the report is generated, it appears on the Approval Pending Reports page.

  • Use the View (HTML) option to open and comment on the report.

Approval Commenting and Visibility

Adding Comments

To add a comment:

  1. Open the report from the Approval Pending Reports page.

  2. Click Add Approval Process Comment.

  3. Enter the comment and click Add Approval Process Comment.

Comments can be added to both pending and published reports.

Controlling Comment Visibility

While adding a comment, you can select which users can view it:

  • In the Add Approval Process Comment dialog, click the arrow next to Visible To.

  • Choose users or groups who should see the comment.

Viewing Comments

On Pending Reports

To view comments on a pending report:

  • Click the View Comments icon on the Approval Pending Reports list.

On Published Reports

To view comments on a published report:

  • Go to Reports > Published Reports.

  • Click the View Comments icon in the report row or access the option via the ellipsis (⋮) menu.

Only the report owner, approvers, commenters, and Super Administrator can view comments before approval. After approval, comments are visible to all users with access to the report.

Printing Comments

To print a report with comments:

  1. Open the published report in the HTML Viewer.

  2. Click Print with Comments.

Deleting Comments

Kyvos Reporting does not allow deleting comments from reports to ensure audit integrity and traceability.
