Emailing the Report

You can send reports by email as an attachment, link, or embedded in the message body.
Send Report As
Option | Description |
|---|---|
Attachment | Sends the report as an email attachment. |
Link | Generates the report on the Report Server and sends a link to the recipient. This is useful if the report is large or if attachments may be blocked by the recipient’s mail server. |
Embed | Embeds the report content directly in the email message body. |
Output Options
Depending on the output format, you can select additional options. Examples include:
Zip the file before attaching it.
Ignore page breaks.
Format-specific options for CSV or Excel outputs.
Link Delivery Settings
When sending a report as a link, you must specify the file name and location where the report will be saved.
In Save In, select the Open Object icon.
Use the Object Selector to navigate to the folder.
Features like multiple views, filtering, and sorting help locate the folder quickly.
Message Text
A default message defined by your administrator appears in the Message box.
You can edit this message.
You can include parameters:
User parameters
System parameters
Insert parameters in the format
<%ParameterName%>.Example: If the report includes a parameter named ReportDate, you can add
<%ReportDate%>in the message. At run time, this is replaced with the actual report execution date.
Sending Options
Select Email Now to send the report immediately. The Report Status screen appears with success or failure details.
Select Email in Background to continue working while the report is emailed. The Report Execution Status screen shows the background status of all reports.
